The Automations area is where you create the functional rules in Coperniq that make the workflow easier for you and your clients. With automation, it is possible to reduce tedious work that can be animated, saving time and costly mistakes.

Once you're in the Automations area of Copernq you will see how easy it is to set up a new Automation and then assign it to your workflow. Once that's done you be glad to know that the task is being handled seamlessly in the background,

Let's go ahead and unpack how Automations works in Coperniq and where it ties into Workflows.

Finding Automations

Automations are accessed by going to Workspace settings>Automations

Once there you will see the:

  • The ability to create a new Automation

  • The various types of Automations (All, Project Work Orders, Requests)

  • The ability to search for a specific Automation

  • The various columns in Automations (Name, Trigger, Action, Active and Created by)

There are three types of actions:

  • Projects

  • Work Orders

  • Requests

We’ll give an example of each type of Automation below in the document.

Creating Automations

Click on (+Automation)

Then you will name your Automation:

Then you will create the Trigger:

Trigger types:

Then the WO type:

Then "From" Status:

Then the "To" Status:

Then SAVE your Trigger choices:

Examples of Actions

Then you will create the Action fields: (what you want the Automation to do)

Action Types:

  • Send Email (sends an email to who you request)

  • Send SMS (sends an SMS to whom you request)

  • Update Project Property (updates a Project Property field)

  • Create Work Order (creates a new Work Order)

  • Call a webhook (call a webhook thru API)

The Action you choose will provide you with choices of what you want the action to do:

Sending an email will bring up these fields to complete:

Pro Tip: Hitting “/” will bring up the Tokens Coperniq can fill in for you. These include Standard, Custom, & Virtual Record Properties, as well as Work Order Properties (if the Trigger is Work Order-related).

Another example is updating a Project Property field:

The dropdown will provide you all the Properties to choose one:

Another example would be "Assign a Work Order":

Workflows and Automations

As discussed earlier you can create Automations in your . This is the preferred method to set these Automations as you’ll want to set these up along with your WO workflow.

To create an Automation in a workflow:

Once you add your work order in the Workflow click on the lightning bolt to the right.

Once you click on the lightning bolt you’ll be presented the Automation setup right:

Name your Automation and fill out your Triggers and Actions.

Pro Tip: Remember to hit “Save for your Triggers and Actions:

Once saved the Automation will show on the Work Order here:

Turning an Automation on and off:

You can turn any Autoations on and off in the Automation here:

On (green dot):

Off (grey dot):

Pro Tip: Be careful doing this as it can change automated actions!
