How do I manage archived records?
Last updated: January 4, 2026
Context
When working with Clients, Sales, and Projects, you may need to archive records that are no longer active and later restore them as needed. Properly managing archived records helps maintain a clean workspace and supports overall system performance.
Answer
Archiving a record (Client, Sale, or Project)
You can archive records individually or in bulk using either of the following methods:
Option 1: Archive from the list view (one or bulk)
Go to the Clients, Sales, or Projects list.
Select one or more records using the checkboxes.
Click the Archive icon.

Once archived, records will appear faded/grayed out when archived items are visible.

Option 2: Archive from inside the record (single record)
Open the Client, Sale, or Project record.
Click the three vertical dots (⋮) in the top-right corner.
Select Archive.

Unarchiving a record (Client, Sale, or Project)
To restore archived records, you must first enable archived visibility.
Step 1: Show archived records
Go to the Clients, Sales, or Projects list view.
Toggle Show archived to On.
Archived records will appear faded/grayed out in the list.

Option 1: Unarchive from the list view (one or bulk)
Select one or more archived records using the checkboxes.
Click the Unarchive icon/action.
The record(s) will return to the active list and appear normal (not faded).

Option 2: Unarchive from inside the record (single record)
Open the archived Client, Sale, or Project record.
Click the three vertical dots (⋮) in the top-right corner.
Select Unarchive.

Best practices
Archive instead of deleting records you may need to reference later.
Review archived records periodically to ensure they are still needed.
Use bulk actions when archiving or restoring multiple records to save time.
If you do not see archive or unarchive options, verify that you have the required permissions.
