Applying Changes with Workflows 2.0!

Workflows 2.0 offers a convenient way to build a workflow that services your operational vision. While you can establish Phases along with Work Orders & Forms under your phases via Workflow 2.0 there are 3 main rules you should consider if you plan to change your workflow settings while there are pre-existing projects in your system.

  1. Propagation radius rule

    1. Propagation touches only “work-in-progress” records – i.e. projects that are not COMPLETEDCANCELED, or archived

    2. A phase that is already COMPLETED is frozen: its name/type/SLA never change, and no new or moved elements can enter it; only its position can shift when phases are re-ordered.

  2. Adding/Re-ordering rule

    1. Adding or re-ordering phases always propagates; for completed phase-instances only the position field is updated.

    2. Adding or re-ordering elements (i.e Work Orders & Forms) propagates to every phase-instance that is not COMPLETED. If either the source or destination phase is completed, the move is skipped.

  3. Deleting rule

    1. Deleting a phase template removes a phase-instance only when that instance is NOT_STARTED (all of its elements must still be in non-started statuses)

    2. Deleting an element template removes element-instances only when the element (i.e. Work Orders & Forms) is still “locked” (meaning its either NOT_STARTEDBLOCKED or CONDITION_NOT_MET)
