Snippets – Reusable Templates for Notes & Communications

Overview

Snippets allow teams to create reusable templates for commonly used notes and communications. Instead of manually typing the same updates repeatedly, users can quickly insert pre-saved snippets directly into Work Order Notes, Emails, SMS messages, and other communication fields.

This helps teams save time, maintain consistent messaging, reduce repetitive work, and streamline daily workflows.

Access Snippets

Go to: Company Settings → From the left menu, select Snippets

From here, you can:

  • View all existing snippets

  • Create new snippets

  • Edit existing snippets

  • Archive old snippets

  • Search for snippets

  • Toggle on Show Archived to display archived snippets

To create a new one, click + Snippet in the top-left corner.

Create a Snippet

After clicking + Snippet, the Create Snippet window will appear.

Fill in the following fields:

  • Name → Enter the snippet title/name

  • Content → Enter the message or template content

The editor also includes formatting options such as:

  • Bold

  • Italic

  • Underline

  • Numbered lists

  • Bullet lists

  • Links

  • AI tools to improve, shorten, expand, or adjust the tone of the content

These formatting tools help create cleaner, more professional, and more consistent communication.

Once completed, click Create to save the snippet.

Using Snippets Across Notes & Communications

Snippets can be used directly inside:

Communications

  • Emails

  • SMS messages

  • Portal communications

To use a snippet:

  1. Open the desired Account, Opportunity, Project, or Work Order record

  2. Navigate to the Notes or Communications section

  3. Click the Snippets icon inside the text field. The icon appears as a small book symbol and allows users to quickly browse and insert saved snippets.

  4. Select the desired snippet

  5. The content will automatically populate into the field

This allows teams to quickly insert standardized updates without manually typing the same message each time.

Best Practices

  • Keep snippets short, clear, and professional

  • Use descriptive snippet names for easy searching

  • Review customer-facing snippets before team-wide usage

  • Regularly update outdated templates

  • Avoid including project-specific information inside reusable snippets
